REQUIRES FOUNDER AND PROFESSIONAL LEGAL REVIEW BEFORE LAUNCH: This is a working draft that describes the website's actual technical architecture. It has not been reviewed or approved by a qualified legal professional, and company registration, registered office and data protection registration details are intentionally not yet stated.
Who this policy covers
This policy applies to visitors to this website, teachers who register a candidate account, school and employer contacts who make an enquiry, and anyone who contacts us through a form on this site.
Teachers should also read the candidate privacy notice, which explains recruitment processing in more detail.
The data controller
The data controller is the legal entity operating as Prosper in Teaching Recruitment. The registered company name, company registration number, registered office address, country of registration and data protection registration details will be published here once incorporation is complete. These fields are held centrally in the site configuration and are deliberately left unpopulated rather than filled with placeholder values.
Information we collect
- Account information: name, email address and password credentials managed by our authentication provider
- Candidate profile information: qualifications, teaching experience, curriculum and phase or subject detail, destination preferences and availability
- CV files and any covering note you submit with an application
- Enquiry information submitted by schools and other contacts through our forms
- Records of applications, their status and our correspondence with you
- Technical information such as your approximate location derived from your connection, device and browser type, and pages visited, where analytics is enabled and you have consented
How we use information
- To operate candidate accounts and the job application process
- To assess suitability for roles and to present candidates to prospective employers where the candidate has applied or agreed
- To respond to school and general enquiries
- To send transactional email such as account confirmation, password reset and application updates
- To keep records of recruitment activity and to protect the security of the service
- To understand how the website is used, where analytics cookies have been accepted
Legal bases
Depending on the activity, we rely on the performance of a contract or steps taken at your request, our legitimate interests in operating a recruitment service, your consent where consent is required such as for non-essential cookies, and compliance with legal obligations.
The precise mapping of each processing activity to its legal basis requires professional legal review before launch and will be finalised at that point.
Sharing information
We share candidate information with a prospective employer only in connection with a role you have applied for or have agreed to be put forward for.
We also use service providers who process data on our behalf, including our hosting and database platform, our file storage for CVs, our transactional email provider and, where enabled and consented to, our analytics providers. These providers act on our instructions.
We do not sell personal information.
International transfers
Once our recruitment services begin, because we will recruit for schools outside the United Kingdom, sharing a candidate's information with a prospective employer will usually involve a transfer of personal data outside the UK. Where that happens, it takes place in connection with the role you have applied for or agreed to. The safeguards applied to these transfers are subject to professional legal review before launch.
Storage and security
The website and its database are hosted on a managed platform with access controls applied at the database level, so that candidate records are only accessible to that candidate and to authorised staff.
CV files are stored in a private bucket that is not publicly accessible. Staff access to a CV is granted through short-lived links and is logged. Internal recruiter notes are never visible to candidates or to schools.
Retention
We keep candidate information for as long as your account is open and for a reasonable period afterwards so that we can consider you for future roles, respond to queries and meet our record-keeping obligations. Enquiry records are kept for as long as needed to handle the enquiry and any resulting relationship.
Specific retention periods will be confirmed as part of legal review before launch.
Your rights
- Access to the personal information we hold about you
- Correction of inaccurate information
- Deletion in the circumstances where that right applies
- Restriction of, or objection to, certain processing
- Data portability where applicable
- Withdrawal of consent at any time, including cookie consent through the cookie preferences link in the footer
Cookies
Essential cookies keep the site working and your session signed in. Non-essential cookies, including analytics, are only set after you accept them, and you can change your choice at any time from the cookie preferences link in the footer.
Contacting us and complaints
Until our business email addresses are published, please contact us through the enquiry form on this website and mark your message for the attention of data protection.
You also have the right to complain to the relevant supervisory authority for data protection.
